Job Description

We’re looking for a super talented Creative Agency Coordinator who has exceptional organization and communication abilities. Creative, strategic thinkers that can wear a lot of hats. You’re amazing at prioritizing and delivering against shifting deadlines with a fine attention to detail. You coordinate between clients, vendors and our teams of in-house and independent creatives. We’re looking for versatile professionals who can manage multiple calendars and projects in everything from branding and advertising to content creation + coordination. You have a strong work ethic and excel in a fast-paced team environment. You’re culturally aware, influenced by art, music, film, photography, digital trends and fashion, and are able to contribute and communicate a POV. Relevant experience in an agency, retail environment or equivalent preferred but not required. This Job can be virtual and remote, but Pittsburgh based is a plus. Contract or Salary available for the right candidate.

Job Responsibilities 

PROJECT MANAGEMENT

  • Putting together project timelines and calendars, tracking against those calendars and keeping WED, all partners and clients in the loop on important dates and deadlines
  • Take notes during all meetings and provide summaries and next steps
  • Overall calendar management for WED
  • Manage daily hit list and lead task management during morning TB
  • Organize and manage Google Drive 
  • Setup client calls via Zoom
  • Concept Kick Off/Discover- organizing docs and information from clients and conversations into an organized doc for creative kick offs 
  • Special Projects as assigned 

ACCOUNT MANAGEMENT

  • Support client communication and respond to client emails promptly
  • Assist with project proposals/estimates and SOWs
  • Keep clients up-to-date and in the loop on all projects
  • Meetings, invoice tracking and all aspects of client communication

PRODUCTION + POST PRODUCTION 

  • Manage production, shoot and post production calendars
  • Communicate expectations, timelines and budgets to appropriate partners
  • Manage final video and photo delivery ensuring all assets are delivered with correct naming and with the correct sizes + specs
  • Serve as internal support for Producer, Retoucher and Post Production team

FINANCE, INVOICING + BOOKKEEPING

  • Manage invoice tracker
  • Create, submit and follow-up on client invoices
  • Coordinate with Bookkeeper to wrap up monthly financial reports

CREATIVE CONCEPT + WRITING + DECK PREP

  • Contribute to concept + pov of idea decks
  • Help to write and shape content where applicable
  • Proof read and insert next steps + timelines
