We are seeking a detail-oriented and organized Document Control Specialist / Administrative Assistant to support document management and data entry processes. This role is critical in maintaining efficient filing systems, ensuring supplier transparency, and supporting cross-functional teams. The ideal candidate will demonstrate proficiency in Microsoft Word and Excel, strong organizational abilities, and a proactive mindset toward learning new technologies.

Responsibilities

Document Management

  • Organize, file, and archive physical and digital documents systematically.
  • Develop and maintain naming conventions and categorization for easy document retrieval.
  • Conduct routine audits to verify document accuracy and compliance with company standards.

Data Entry

  • Enter and maintain accurate data in multiple systems.
  • Track and update supplier information to ensure transparency and compliance.

Software Proficiency

  • Utilize Microsoft Word for creating, formatting, and editing documents.
  • Use Microsoft Excel for data analysis, including formulas, pivot tables, and charting.

Collaboration and Support

  • Collaborate with team members and departments to support projects and resolve issues.
  • Participate in meetings and contribute insights and suggestions to improve processes.

Learning and Development

  • Take initiative to learn new programs, particularly document approval platforms.
  • Stay informed of industry best practices in document management and data handling.

Education

  • High school diploma or equivalent required.
  • Associate or bachelor’s degree preferred.

Experience

  • Previous experience in document management and data entry required.
  • Administrative or Quality Assurance background is a plus.

Additional Information

  • Proficiency in Microsoft Word and Excel required; knowledge of other applications is a plus.
  • Must have excellent attention to detail, organizational skills, and the ability to multitask.
  • Strong communication and teamwork skills are essential.
  • Willingness and ability to quickly learn new software systems.
