Job Summary

The ideal candidate will have experience in inventory and warehouse management, 3PL operations, and data analysis, with responsibilities including maintaining ERP and 3PL inventory alignment, conducting physical counts, auditing warehousing invoices, and working cross-functionally to enhance supply chain efficiency and support sourcing initiatives. This position will require approximately 10% travel to third-party fulfillment providers and internal locations to perform physical inventory counts and audits.

Responsibilities

Inventory Replenishment

Third party fulfillment providers

  • Review inventory levels against the latest forecast and determine whether replenishments should be made. The current inventory locations that will need replenishment are the following:
  • Third party fulfillment provider in the UK
  • Amazon UK/EU FBA
  • Third party fulfillment provider on the West Coast of the US
  • Amazon US FBA
  • Third party fulfillment provider in Canada
  • Amazon Canada FBA
  • If replenishment should be made, determine the best timing and quantities to replenish to maximize customer service while minimizing overall costs
  • Track replenishments and ensure all the paperwork and clearances are performed efficiently and product is received on time.

Internal locations

  • Receive transfer requests to move inventory from one location to another. Primarily this will be movement of inventory from one internal location to another internal location and/or from one supplier or command to one of our internal locations.
  • Determine and select the most cost effective solution to performing the transfers

Inventory Management

Third party fulfillment providers

  • Ensure that our ERP system record of inventory is in sync with all of our third party locations listed above at the sku and lot code level.
  • If there is a variance then, a transaction by transaction comparison of orders, inbounds, and adjustments against our system and our third party locations’ systems will need to performed
  • Perform physical audits at all of our third party locations to confirm that our ERP system of record of inventory matches what is physically on the ground at the sku and lot code level

Internal locations

  • Conduct monthly physical count of what is in stock in all of our internal locations. The inventory specialist must prepare the count sheets, perform the counts and determine if any recounts are necessary. Investigate and resolve discrepancies. Once all discrepancies have been resolved, then the counted inventory numbers can be posted into our system. This must be performed within a 2 day window.

Manage Invoice processing and service levels

  • Our third party fulfillment providers send invoices for charges to store and handle our product. The charges must be audited and any issues sent back to the providers. Once all discrepancies have been agreed, then the invoices can be paid.
  • Work with our 3PL warehousing providers on correcting operational issues as required

Month End Accruals

  • Determine what charges we need to accrue for at the end of the month that will not be received in time for processing. These need to be organized by account code and reported back to our Finance team for all warehousing invoices.
  • Coordinate with supplier A/R departments to ensure accuracy of invoices and month end estimates
  • Support warehousing monthly/quarterly business review process

Reporting and Projects

  • Report third party fulfillment provider cost per product to share with the team
  • Support overall supply chain planning, sales operations and expansion projects
  • Provide business insight into the monthly and quarterly results for third party fulfillment providers including forecasts
  • Create budget for third party fulfillment provider spend
  • Create reporting and communicate insight for Supply Chain leadership team including metric development and dashboards
  • Identify cost and efficiency opportunities
  • Perform Ad-hoc analytics and financial decision support

Qualifications

  • BS/BA required ; preferably in Logistics Management, Supply Chain Management, Mathematics, Accounting, Finance or Business Management
  • Must have prior experience planning and managing inventory at third party fulfillment providers
  • Strong leadership, relationship building and communication skills.
  • Excellent problem solving skills
  • High attention to detail and procedure.
  • Ability to handle multiple projects simultaneously
  • High level of proficiency in Excel, Power Point, MS Outlook.
  • ERP experience in warehouse management
